Right to Work & compliance

Right to Work checks your candidates complete from their phone

Send a secure link. The candidate photographs their passport or BRP, adds their share code and cards. It lands in your review queue with expiry dates. Approve in one click and the Right to Work report stays current.

Why it matters

The penalty tripled. The paperwork did not get easier.

Since February 2024 the civil penalty for employing someone without the right to work is up to £45,000 per worker for a first breach and £60,000 for a repeat. Agencies supplying labour carry that exposure across every person on every site.

Passport photos in a camera roll are not an audit trail

When a client or the Home Office asks for evidence, you need the document, the date you checked it and who checked it, for every worker.

Share codes and cards expire quietly

A time-limited share code or a lapsed CSCS card does not announce itself. You find out when someone asks.

Chasing documents one text at a time does not scale

At twenty starters a week a consultant spends hours asking for the same photo twice.

How it works

Four steps, most of them done by the candidate

1

Send the link

From the candidate record, send a secure link. It opens in their phone browser. No app, no password.

2

Candidate uploads

They photograph their passport or BRP, enter their share code, add CSCS or other cards with expiry dates.

3

You review

Documents land in your review queue. Approve, or reject with a note and the candidate is asked to upload again.

4

Report stays current

The Right to Work report shows verified, expiring, expired and missing across your whole workforce.

What MatrixRec does not do: it does not perform the Home Office online check or verify documents for you. It collects, records and tracks so that you can do the check properly and prove it later. Your statutory excuse still depends on you carrying out the check correctly.
Search on it

Filter candidates by compliance status, not just by trade

Verified, pending, expiring and missing are visible on the candidate list and in the search filters, so a shortlist for a client who audits their sites is a shortlist of people who are ready to start.

  • Compliance status on every candidate row
  • Review queue counts on the dashboard
  • Right to Work report for client and Home Office requests
Questions

Compliance questions

Does MatrixRec do the Home Office online Right to Work check for me?

No. MatrixRec collects the candidate’s documents and share code, gives you a review queue and keeps the record with expiry dates. You still perform the check itself (the online share-code check on GOV.UK, or a manual document check) and record the outcome. Keeping that record in MatrixRec is what gives you the audit trail.

What documents can a candidate upload?

Passport or Biometric Residence Permit, a visa share code, a CSCS card, and any other document you want to hold such as a driving licence, CPC card or trade certificate. Each document has an optional expiry date.

What does the candidate see?

A secure link that opens in their phone’s browser. No app, no password. They photograph the document, enter the share code or expiry date, and submit. If you reject a document with a note, they see the note and can upload again.

What happens when a document expires?

It is flagged as expiring ahead of the date and as expired after it, on the candidate record, in the review queue and in the Right to Work report. You decide who chases it.

Is candidate data secure?

Documents are stored in the UK on Microsoft Azure, encrypted at rest and in transit, and only visible to logged-in users of your agency. Candidate links are single-use and expire. See the privacy policy.
